Additions, Substitutions, Cancellations

Additions:

Participants may be added to a group on a space available basis. Verify that you have space available in your assigned number of hotel rooms. If you do not have adequate space for your new participants, contact the Gathering office at 800-248-1930 x1155 prior to making your additions. We will work with you to accommodate your needs.

Additional registrations may be submitted to the Gathering Office with a postmark until June 1, 2010. Following June 1, 2010, additions will not be accepted. Additions will not be accepted onsite at the Gathering.

Adding participants online before April 19^th:

Once you have entered your new participant's information online, print out a new Registration Account Form and Pastoral Affirmation form. Obtain the pastor's signature so that he affirms the entire group attending the Gathering.
Secure a check for the deposit ($100 each) or full payment ($325 each) for additional participants.
Send the two forms and payment to the NYG Registration Office, 1333 S Kirkwood Rd, St. Louis, MO 63122.

Adding participants via paper form on or after April 19^th:

Use the participant worksheets for each new participant

Send the participant worksheet and church check to the Gathering office at National Youth Gathering; 1333 S Kirkwood Rd; St. Louis, MO 63122.

Supplemental confirmation emails are not sent out for additions. You can verify that a person has been added to your group by going to your online registration and reading the list of names.

Substitutions:

Participants may be added to a group on a space available basis. Verify that you have space available in your assigned number of hotel rooms. (This should not be a problem if you are subbing a male for a male or a female for a female.) If you do not have adequate space for your new participants, contact the Gathering office at 800-248-1930 x1155 prior to making your additions. We will work with you to accommodate your needs.

Participant substitutions may be made with the Gathering Office with a postmark until July 1, 2010. After July 1, 2010, substitutions will not be accepted. Substitutions will not be accepted onsite at the Gathering.

Once online, click the "Add" button to start entering a new participant. On the new participant's information page, you will need to choose "Substitute" as your status. A drop box of names from your group will appear, and you must choose the name of the person you are substituting for. Their information will shift to a Cancelled list.

Youth for youth and adult for adult substitutions can be made online. If you want to substitute a youth for an adult or an adult for a youth, contact our office for how to proceed.

Cancellations:

A $100 charge per person will be retained for cancellations made on or before June 1, 2010. The remaining funds will be refunded to the congregation through the Primary Adult Leader.

No refunds will be issued as of June 2, 2010.

All cancellations must be made in writing and submitted to our office. Include in your message your congregation ID number, the name of the person(s) being cancelled, and if your group needs to drop any hotel rooms. Choose one of the following:
